The system provides a modern and efficient way to manage entry and exit points while ensuring residents always know who is visiting their homes. With Smart Gate, estates can move away from manual visitor books and paper records to a fully digital system that improves accountability, transparency, and operational efficiency. The system helps security personnel register visitors quickly while automatically notifying residents and maintaining detailed records of all entries and exits

How the Smart Gate System Works

The Smart Gate system is implemented directly at the estate’s main gate or security point. Security personnel register households within the estate and link them to a contact person. Whenever a visitor arrives at the gate, their details are recorded in the system. The household contact person automatically receives an SMS notification informing them that a visitor is requesting entry. Once the visitor leaves the estate, another SMS notification is sent confirming their exit. The system also automatically calculates the time the visitor spent inside the estate, helping improve monitoring and security oversight.

Key Features of the Smart Gate System

Estate Household Registration

All households within the estate can be registered in the system and linked to a primary contact person. This ensures that visitor notifications are sent to the correct resident whenever someone arrives at the gate.

Visitor Registration at the Gate

Every visitor entering the estate is digitally registered by security personnel at the gate. This replaces traditional visitor books and ensures accurate records of everyone entering and leaving the community.

SMS Notifications to Residents

Residents receive instant SMS notifications whenever a visitor arrives for them. When the visitor exits the estate, another SMS notification is sent, keeping residents fully informed about visitor activity.

Automatic Time Tracking

The system automatically records the entry and exit time of each visitor and calculates how long they stayed inside the estate. This information is stored and can be used for reporting and security analysis.

Vehicle Details Capture

Security personnel can capture vehicle information such as registration number, vehicle type, and driver details. This adds an extra layer of monitoring and helps track vehicles entering the estate.

Visitor Whitelisting

Frequent visitors such as house managers, domestic workers, delivery personnel, or service providers can be whitelisted. This allows them to enter the estate without going through the full registration process each time, improving convenience and efficiency.

Visitor Blacklisting

Security teams can blacklist individuals who should not be allowed access to the estate. Once blacklisted, the system alerts security personnel if the visitor attempts to enter again.

Powerful Analytics Dashboard

The system includes a rich dashboard that provides useful insights such as: Average visitor time spent in the estate Longest visitor stay Total number of visitors Visitor trends over time These insights help estate management monitor activity and improve operational decisions.

Advanced Reporting

Smart Gate provides detailed reports that help management analyze visitor activity. Reports can be generated based on specific conditions, for example: Visitors who entered after 9 PM Most frequent visitors Daily, weekly, or monthly visitor statistics Reports can be exported in CSV, Excel, and PDF formats.

Multi-User Access and Role Management
